What this notice covers
Angel Ops is the internal scheduling and coverage platform used by Visiting Angels franchise offices. It stores protected health information (PHI) about home-care clients — care plans, visit records, addresses and verified visit times — and workforce records for caregivers.
How information is used
PHI is used only for treatment coordination, scheduling and coverage, payroll and billing operations, and quality and compliance oversight within the franchise office that holds the client relationship. Information is never sold, and it is never used for advertising.
Minimum necessary access
Every record belongs to a single franchise workspace and is invisible to other offices. Inside an office, caregivers see only their own assigned visits, the clients on those visits, their own credentials and their own time entries. Schedulers and owners see the full office; corporate administrators see performance roll-ups.
Audit and accountability
Every view of and change to a client record is written to an append-only audit trail that records the person, the record, the action and the time. Nobody — including the office owner — can edit or delete an audit entry. Opening a client file outside your caseload requires an explicit confirmation and is flagged in the trail.
Safeguards
Data is encrypted in transit and at rest, access requires an individual account, sessions end automatically after 15 minutes of inactivity, and records are retained under the office's retention policy and marked removed rather than erased so the audit trail remains complete.
Your rights
Clients may request a copy of their records, request corrections, request an accounting of disclosures, and file a complaint without retaliation. Contact your local Visiting Angels office's privacy officer to exercise any of these rights.
Personal data we hold
Clients: name, home address and ZIP, phone number, care plan and required skills, visit history and verified visit times. Caregivers: name, phone number, email address, ZIP, skills, credentials and expiry dates, pay rate, time entries. Staff accounts: name, work email and sign-in activity.
Phone numbers, email addresses and home addresses are masked in the interface and revealed only on request, with each reveal recorded in the audit trail. Exported files exclude contact details. Records are kept for the retention period set by the franchise office and are marked removed rather than erased so the audit trail stays complete.
Requests and complaints
To access, correct or request deletion of personal information, contact the privacy officer at the franchise office holding the record. Requests are answered within 30 days and the request itself is logged.
Business associate agreements
Angel Ops operates as a business associate of each licensed franchise office. A signed business associate agreement governing permitted uses, safeguards, subcontractors and breach notification is executed before a workspace is provisioned. Request a copy from your corporate licensing contact.
